Who we are

This Privacy Policy explains how JN Air Solutions Pty Ltd, trading as JN Air Solutions (“we”, “us”, “our”), collects, uses, stores and discloses personal information.

We are a Melbourne based heating and cooling installation and service business operating under BPC Licence 110205.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What this policy covers

This policy covers our website at jnairsolutions.com.au, including any landing pages such as our heating and cooling eligibility enquiry page, and any enquiry you make with us by phone, SMS or email.

What personal information we collect

Information you give us when you complete an enquiry form

  • Your name
  • Your mobile number
  • Your email address
  • The postcode of the property
  • Whether you own, rent, are a landlord of, or operate a business at the property
  • Your current heating or cooling system
  • When you are thinking of upgrading
  • Your consent to be contacted

Information collected automatically when you use our website

  • The date and time of your enquiry
  • The page address you submitted the enquiry from
  • Campaign tracking values that tell us which advertisement or search brought you to us (commonly called UTM values and a Google Click Identifier, or GCLID)
  • The type of device you used
  • Your IP address, where available
  • The version of the consent wording you agreed to

Information you give us later

If your enquiry proceeds, we may collect further details needed to quote, assess eligibility for available discount programs, arrange installation or provide after sales support. This can include the property address, details of your existing system, and information required by an energy efficiency program or its accredited provider.

We do not knowingly collect personal information from children. We do not collect sensitive information as defined by the Privacy Act.

Why we collect it and how we use it

We collect and use your personal information to:

  • Respond to your enquiry and contact you about it by phone, SMS or email
  • Check whether discounts or rebates may be available for your property and system
  • Prepare and provide a quote
  • Arrange, perform and support an installation or service
  • Meet obligations that apply to us under any energy efficiency program we participate in
  • Keep records required by law, including for warranty and safety purposes
  • Understand which advertising brought us enquiries, so we can improve our advertising
  • Improve our website and services

We contact you because you asked us to when you submitted the form and ticked the consent box. You can ask us to stop contacting you at any time.

Consent

Our enquiry form requires you to tick a consent box before it can be submitted. The box is never ticked in advance. By ticking it you agree that we may contact you by phone, SMS or email about your heating and cooling eligibility enquiry.

Consent to marketing is separate. We will only send you marketing messages if you have agreed to receive them, and every marketing message will include an unsubscribe option.

Who we share it with

We may share your personal information with:

  • Our staff and installers, so your enquiry can be actioned
  • Suppliers and subcontractors involved in your installation or service
  • Our marketing agency, which manages our website, advertising and enquiry systems on our behalf
  • Service providers who host our website, store our records or deliver our email
  • Anyone else where you have asked us to, or where we are required or permitted by law

We do not sell your personal information.

Some of our service providers may store information outside Australia. Where that happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

Advertising and website tracking

Our website and landing pages use Google Analytics and Google Ads. These tools use cookies and similar technologies to tell us how people found our website and which advertising led to an enquiry.

This information is generally used in aggregate and does not identify you personally, although campaign tracking values submitted with your enquiry form are stored alongside your enquiry.

You can control cookies through your browser settings. You can opt out of Google Analytics using the browser add-on Google provides for that purpose, and manage advertising preferences through your Google account settings. Turning cookies off may affect how parts of our website work.

How we store and protect it

Your enquiry is delivered to our email inbox, to our marketing agency’s support inbox, and to a secure spreadsheet or customer record system we use to track enquiries.

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification or disclosure. These steps include access controls on our systems and limiting access to people who need it to do their job.

No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

How long we keep it

We keep enquiry records for as long as needed for the purpose we collected them, and then for as long as we are required to keep them by law, including for warranty, safety, tax and program compliance reasons. After that we take reasonable steps to destroy or de-identify them.

Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and you can ask us to correct it if it is wrong or out of date. Email info@jnairsolutions.com.au and we will respond within a reasonable time. We may need to verify your identity first.

We do not charge for making a request. If a request takes significant work we may charge a reasonable cost for supplying the information, and we will tell you before we do.

Opting out

To stop receiving contact from us, reply STOP to an SMS, use the unsubscribe link in an email, or email info@jnairsolutions.com.au. We will action it promptly. We may still need to contact you about work already in progress.

Complaints

If you think we have mishandled your personal information, email info@jnairsolutions.com.au with the details. We will acknowledge your complaint and respond within a reasonable time, usually within 30 days.
